In full
HR approves the pack each role receives, IT approves every account and permission before it is created, and managers get prompts rather than messages sent in their name.
By default it runs in accounts and infrastructure in your name. If you would rather we run it, we host it in accounts set up only for you, kept separate from every other client. Employee records stay in your HR system, and identity documents are never copied into chat tools or email threads. How we handle data
Questions
Open one
Does it handle contractors and casual staff?
Yes. Each worker type gets its own pack and checklist, so a contractor is not asked for the same documents as a permanent employee.
Can it handle offboarding too?
Yes, and we recommend it. Removing access on time matters as much as granting it, and it is often the step that gets missed.
Do we need a particular HR system?
No. We build around the HR and identity tools you already use. If you run onboarding from spreadsheets today, we can start there.
In detail
Open one
What it does
- Sends a pre-boarding pack that collects contracts, tax, pension or superannuation and banking details, and identity documents.
- Requests email, chat and software accounts before day one, for IT to approve.
- Assigns training modules and policy acknowledgements for the role.
- Schedules a buddy introduction and 30, 60 and 90-day check-ins, with prompts to the manager.
- Runs offboarding in reverse, so access is removed and equipment returned when someone leaves.
How each run works
Every run follows these 5 stages, inside your own tools.
- 01The offer is signed. A signed offer in your HR system or applicant tracking system starts the onboarding run.
- 02The pre-boarding pack goes out. The new starter receives the forms for their role and worker type, with reminders until each is complete.
- 03IT approves accounts. Account and permission requests are raised automatically and wait for IT approval before anything is created.
- 04The first weeks are planned. Training, policy sign-offs and a buddy introduction are scheduled, and the manager gets a checklist.
- 05Check-ins happen on time. Managers are prompted for the 30, 60 and 90-day conversations, and HR sees what is outstanding.
