Hi Rui, welcome aboard. One form covers everything we need: company details, payment terms and three documents.
Start the form. It saves as you go.
Procurement adds the supplier once. The supplier gets a single form for everything.

In full
A person approves every new supplier and every change to bank details, confirmed by a callback to a number already on file. The system gathers and checks; it never approves on its own.
By default it runs in accounts and infrastructure in your name. If you would rather we run it, we host it in accounts set up only for you, kept separate from every other client. Supplier documents are stored in your document system and ERP, and bank details are never sent over email or chat. How we handle data
Questions
Open one
Does it handle changes to existing suppliers?
Yes. Changes to bank details, contacts or documents go through the same checks and approval as a new supplier, which is where payment redirection fraud usually starts.
Which checks can it run?
Business registration lookups, sanctions list screening, document completeness and expiry tracking are standard. Other checks, such as credit or industry accreditation, are added where a provider offers an API.
In detail
Open one
What it does
- Gives suppliers one intake form for company details, contacts, payment terms and documents.
- Checks business registration details against official registries such as ABN Lookup, and runs sanctions screening where you need it.
- Collects insurance certificates, licences and safety documents, and tracks their expiry dates.
- Holds bank details for a person to verify by callback before they are used.
- Creates the approved supplier record in your ERP or accounting system.
- Tracks every supplier's status, so procurement can see who is waiting on what.
How each run works
Every run follows these 5 stages, inside your own tools.
- 01A supplier is invited. Procurement triggers an invitation, and the supplier gets a single form for everything you need.
- 02Details and documents come in. The supplier submits company details, bank details and documents, with reminders until the submission is complete.
- 03Automated checks run. Registration details, sanctions lists, document completeness and expiry dates are checked, and gaps are sent back to the supplier.
- 04Procurement approves. A person reviews the checks, verifies bank details by callback and approves the supplier.
- 05The supplier is set up. The record is created in your ERP, and document expiry monitoring begins.
